Major Duties & Responsibilities

  • Manage purchasing process with promotional material development agency: create purchasing order request, manage contract document, close purchasing order with complete documentation.

  • Manage vendor creation for BMS vendors (promotional material development agency, Congress etc) in Ariba and Oracle system.

  • Communicate with medical society office to process sponsoring and booth & advertisement: Check documents in event management system, upload advertisement file to agency system, request delivery of booth & advertisement to congress, manage stock of promotional materials in agency's warehouse.

  • Support internal event and meeting incl. workshop, regular marketing/sales meeting, offsite meeting: communicate with agency and attendants for event, purchase materials for meeting.

  • Support daily sales activity of sales team: manage delivery of sales materials to sales reps home or hospital, support expense tracking.

  • Support marketing activity of marketing team: upload promotional material to review system, track the record of marketing activity, check the status of marketing program.

  • Support business unit director as a secretary: manage corporate card expense, assist BUD scheduling, make reservation of transportation and meeting logistics.

  • Work closely with other administrative support staff to ensure administrative protocols are well coordinated and implemented in an efficient manner.

  • Coordinate logistics and communication with Internal/Global event team for Korea Customer meetings.

  • Work with Corporate Giving Team and communicate with local congress and agencies to deliver payment correctly.

  • Communicate with Alliance Partner for information cross check-up regarding Alliance territory and monthly actual expense report.

  • Assist BU new comers with IT Peripherals and Accessories, business card and corporate card registration, system requisitions, and general support.

Desired Experience & Qualification

  • Bachelor's degree

  • 2-3 years of commercial support experience as assistant

  • Proficiency in written English

  • Excellence in interpersonal communication

  • Excellence in application of Microsoft

  • Experience in pharmaceutical industry (preferred)
